  • ITMDG Board Meeting Minutes - Sept 24, 2002

    Present:Fiona Solkowski, Susan Meyer, Ed Paynter, Amber Challifour, Phil Coleman, and Tony Gregory. Also present from the membership was Lisa Ornstein

    The regular board meeting of the Indianapolis Traditional Music and Dance Group was held on September 24th, 2002, at The Abbey on Massachusetts Avenue at 6:30 PM.

    Fiona distributed a proposed agenda for the meeting, which was followed by the Board.

    I. Minutes:

    Fiona began by insuring that all Board members present had had the opportunity to review the minutes of the August 13th . It was moved, seconded and passed unanimously that the Board accept the Minutes of the August 13th meeting.

    II. Financial Report:

    Susan Meyer then delivered a financial report on the Group, and passed out copies to the attendees. She noted that the bank account was still healthy, and that the group had made money on all but one dance during the period. This was good, considering the new $80/night rent for the hall. She also noted that the group was taking on about 2 new members per month. There were no questions on the group's finances, and the Board approved the financial report.

    III. Gypsy Moon Ball

    The budget for Gypsy Moon was similar to the pervious year's dance, and might actually work out better this year.

    We need to actively recruit assistants for the Ball at the evening dances, and to that end the board was going to put out sign-up sheets and announce them at the dances.

    Areas that need to be managed are:

    Function Persons Responsible Tasks
    Set-up/Tear-Down 10-12 people Susan/Fiona Decorating, tables/chairs/refills/trash/cleanup
    Registration 5 people Ed Collecting money/check-in/T-shirts
    Food Lots Amber/Jessica Sign up people to bring things/organize on site
    Sound 3-4 people Tony/Phil Crew to haul gear in and out for Pro Sound Guy
    Housing Several people Deb Arrange guest housing for out-of-towners

    IV. November 23rd Dance -

    November 23rd is the date for the next Saturday dance. This is to be held at the Harrison Center. The Board approved paying $100 for a professional sound job for the dance, provided we are happy with the Gypsy Moon Ball sound.

    V. Scheduling

    This has now been done well ahead.

    VI. Lisa's 3-Day Weekend Dance, July 18-20, 2003

    There has been a change in the band, and Lisa is still looking for a location and open to suggestions. The Board is planning to help promote the dance, and Lisa could use volunteers to handle the logistics.

    VII. Volunteer School Exhibition

    Friday November 1 we are looking for volunteers to do a demonstration dance for Lawrence Township Oaklandon Elementary School, from 7-9 o'clock. This will be about a 45 minute demonstration. John Teskey will be calling. There may be a lot of students at this. We need to find recorded music that would work for this.

    VIII. The next Board meeting will be very short, pre-dance meeting, on October 22nd, at 7:15 at the Athenaeum. Board members are to bring their calendars.

    There being no further business before the Board, the meeting was adjourned.
