The Board approved the April 2004 minutes.
Susan Meyer delivered, and the Board approved, the Financial Report.
a. We are losing money for the year. Susan had prepared a report subtracting the effect of membership renewal, showing that we had lost money based on gate revenue for most dances this year.
b. This is almost entirely due to the increased $100/week rent for the Athenaeum.
Tony Gregory presented a draft of a letter directly to the Athenaeum Board requesting a meeting with the Athenaeum Board at their next regular meeting, and explaining the financial situation.
c. The last letter was answered independently by Phil Watts within a day or so of receipt, and based on this and information from other Board members we have reason to believe that the issue was never taken up or considered by the Athenaeum Board.
d. Fiona, Susan, and Phil received draft copies, and will edit the letter and return suggestions to Tony at the next dance.
The Athenaeum has informed us that we need to move the dance on August 10. In keeping with the need to explore financial alternatives, the Board agreed to move the dance to Eric Bragg’s facility if it was available that night. Fiona was to check into this.
August 19th is the State Fair Exhibition dance. Dancers must attend the August 17th regular dance to receive State Fair Tickets, or must contact Fiona directly.
e. We will announce this at the regular dances.
Gypsy Moon Ball:
f. Fiona reported that all Gypsy Moon callers and bands are confirmed.
g. Fiona reported that Bloomington had failed to schedule a Friday night dance during Gypsy Moon weekend, as planned. They are still checking into it. Our group is reaching a critical point to print our flyer. After much debate, the Board concluded that we would give Bloomington until July 19th to either schedule a dance or give up on it, and our group would then decide on July 20th whether to forgo a Friday night dance or try to hold one, possibly at Eric Bragg’s hall.
h. Susan explained the budget for Gypsy Moon, which indicates an approximate break-even if we have 20 more attendees that last year, which is our projection.
i. One of the dancers who handled pre-registration for Celebration Dance Weekend has volunteered to handle pre-registration for Gypsy Moon. The Board concluded that this would not be practical, since some flyers were already out with other pre-registration details, and she lives out of town. Fiona to thank her and inform her that we will not need her to do this.
j. The Board concluded that the contingent Pledge Drive to cover possible Gypsy Moon financial shortfalls should be continued and promoted.
k. Fiona and Susan to check the floor at Belzer at the end of August, after maximum summer wear has been put on it.
l. Camping is available this year at Belzer.
m. Some cabins may be available, but dancers need to contact Fiona for group cabins ASAP. Susan to check availability on these.
Next Board Meeting date was set for August 31, 6:30 at the Lockerbie Pub.
