Minutes of the ITMDG Board Meeting July 12, 2005

Present: Juliet, Susan, Tony, Jan, Gary, Fiona, Dan

I. The Board approved the April Minutes

II. Financial Report

a. Susan Gave the Financial Report

b. The Group is up over $1800 compare to 2004.

c. The Checking account is higher than at any previous time

d. This is largely due to good attendance, the increased gate, and the decreased rent.

III. Scheduling & Upcoming Events

a. We do not have any traveling band requests for next quarter.

b. Vicky White the official scheduler now.

c. August 18th is the State Fair Exhibition dance.

i. Phil was not present to ask about organizing and any further details with the Fairgrounds folks.

e. Sound Schedule –

i. Board agreed that the primary Sound Set-Up person each week would receive free admission as an incentive to

take on this task.

ii. Tony to revert to doing the Sound Schedule

IV. Gypsy Moon Ball

a. Budget (reviewed last year, no adjustments)

b. Promotion

i. Draft of flier is done, but still looking at different art

ii. Agreed to look into Bandanas instead of T-shirts?

c. Admission

i. $30/35 or $20 for Sat only, $15 for Sun only, $5 kids/day

ii. Agreed by Board

d. Hall & Housing

i. Camp Belzer

1. Main Hall, Kitchen, 1 extra room, Cabin, Camping.

2. Juliet’s showers are still available.

e. Schedule

i. 3:00 Setup

ii. 5:00 Registration Open

iii. 6:00 Potluck Dinner

iv. 8:00 Early Contra

v. 10:00 Late Contra

vi. 1am Dance Ends

vii. 11 am Potluck Brunch

viii. 12pm Sunday Contra

ix. 3pm Dance ends, cleanup begins

f. Talent

i. Darlene Underwood (Saturday early)& Nils Fredland (Saturday Late, Sunday)

ii. Bloomington Dance on Friday night. Will probably be costume.

iii. Changeling & DuckDuckGoose (Martha Edwards from Stingdancer is filling in for Deb Shebish)

g. Committee Captains (see attached list)

i. Publicity – Jan

iii. Sound – Tony

iv. Decorations – Fiona and Susan and Tony

v. Food – Deb and Harry for Dinner, Carole Gall for Breakfast

a. Regular Dance Buttons are in progress. Need another Button Party.
