ITMDG Board Meeting Minutes - 2/7/2005Minutes of the Annual Meeting of the ITMDG, February 7, 2006Present for the Board: Fiona, Susan, Tony, JulietPresent for the Membership: Ruth, Barry, Joann, Jeanette, Roger, Dave I. Susan presented the annual financial report. We have had a positive income for the year, largely due to the lower room rate at the Athenaeum. The balance in the account is higher than at any previous time, despite having to make some equipment purchases for Sound during the year. II. Susan and Tony announced that the Athenaeum had renewed the contract for another year, and had settled with Susan on the same rate for regular rental and for bumped rental, after initially proposing to raise it. Susan was also able to negotiate a reduction in the number of bumps permitted before the room rate goes to $0, from 7 bumps to 5 bumps. III. Barry asked whether provisions were being made for succession to the Treasurer’s office if Susan grew tired of the position. Susan noted that we have been trying for two years to find someone willing to take over this position, and thinks it is critical that someone know it. We are hopeful that one of the new Board members will be willing to understudy this position during the upcoming year. IV. The suggestion was renewed that we assign a Provost for each evening dance, who knows how to handle things like collecting the money, paying the band, making announcements, and making certain the room is put back in order. It was proposed that this role be assigned on a monthly basis, rather than weekly, and concluded that the new Board would take this up in its first meeting. V. Fiona noted that we had still not done the name buttons, and she still needed to have a button party to get this done. Identifying Board members and officers on the buttons may add something to the attraction of serving on the Board. VI. Juliet noted that Lawrence Schools was having a public classes, and might be interested in a contra dance class. She said that we would need a caller and a few volunteers for four weeks to make this work. Doug was suggested as a caller, in his absence. Several people said that they would be willing to volunteer. Juliet to contact the school. VII. Tony announced the candidates for office. These were Vicki White, Chris Serra, Daniel Crawford, and Tony Gregory. Again we only have enough candidates to fill the open positions, but they do all seem enthusiastic. VIII. It was moved, seconded and passed that the July 4th dance be cancelled, due to unavailability of the Athenaeum for that date, and proximity to the Celebration dance. IX. It was noted that the Gypsy Moon Ball would be one weekend later this year (the weekend following Halloween, due to a Boy Scout function on Halloween weekend. X. There being no further business, the meeting was adjourned.
