  • ITMDG Board Meeting Minutes - 2/21/2002

    Present: Fiona Solkowski, Susan Meyer, Barry Levitt, Amber Challifour, Jessica Glendening, Phil Coleman, and Tony Gregory

    The regular board meeting of the Indianapolis Traditional Music and Dance Group was held on February 21, 2002, at 7:30 PM.  Present were Fiona Solkowski, Susan Meyer, Barry Levitt, Amber Challifour, Jessica Glendening, Phil Coleman, and Tony Gregory.

    Fiona began the meeting by welcoming the incoming Board Members, and briefly explaining the functions of the Board and the various offices.

    The Board then proceeded to the election of new officers.  Officers elected were:

    President - Fiona Solkowski
    Vice President - Phil Coleman
    Treasurer - Susan Meyer
    Secretary - Tony Gregory

    The Board then proceeded to a discussion of the function of various committees, and the appointment of chairpersons for these committees, as follows:

    Scheduling/Talent - Jointly Susan Meyer and Ardath Stroble
    Communications - Jointly Fiona Solkowski and Phil Coleman
    Sound - Tony Gregory
    Special Events/Housing and Food - Jointly Jessica Glendening and Amber Challifour
    Nominations and Elections - Ed Paynter

    Susan Meyer then delivered a financial report on the Group, noting that attendance had been increasing, and the Treasury had more funds than at any time in the history of the Group, allowing greater possibilities in scheduling bands and events.

    The Board then proceeded to a discussion of the upcoming Beach Party dance, and the particulars of when to report for setup and who was assigned to what duty.

    The Board discussed whether to allow children in for a reduced price to the Group's dance events, and concluded that children under the age of 6 would be admitted free, and aged six or older would be charged the full rate for adults.

    The Board then discussed scheduling of future events, in particular, whether to continue with the quarterly Saturday dance and plans for Gypsy Moon Ball.

    On the subject of the quarterly Saturday dance, the Board determined to wait until the February 23rd dance evening, and to make a determination based on the attendance and success of that dance.  If the dance was successful, the Board suggested June 22nd as the possible date for the next Saturday dance.

    On the subject of the Gypsy Moon Ball, one principal concern discussed was that of the venue, since it appears that the hall at Camp Belzer will be torn down.  It was determined to ask group members for suggestions of alternate venues.  Fiona was going to pursue this matter.

    There was a discussion of possible groups to play for Gypsy Moon Ball, as well as possible callers.  Susan and Fiona were going to pursue possible groups and callers.
        
    The Board discussed whether or not to do the State Fair again, noting that it appeared we had never gotten a single member from the Fair exhibition dance, and that inevitably certain people missed the notice and showed up at the Atheneaum if it took place on a Tuesday night.  It was determined to look into a weekend, rather than a Tuesday.

    Fiona said that she would look into a Bulk Mailing permit.  She would also e-mail the MS Excel membership to Tony.

    The outgoing Treasurer, Barry Levitt, delivered financial records and related materials to the new Treasurer, Susan Meyer.

    The Board determined to hold its next meeting on Tuesday, April 9th, at Bazbeaux's Pizza.

    There being no further business before the Board, the meeting was adjourned.
