ITMDG Board Meeting Minutes - August 13, 2002Present:Fiona Solkowski, Susan Meyer, Jessica Glendening, Ed Paynter, Amber Challifour, and Tony Gregory. Also Present from the membership were Lisa Ornstein and Sandy Miles. The regular board meeting of the Indianapolis Traditional Music and Dance Group was held on August 13th, 2002, at The Abbey on Massachusetts Avenue at 6:30 PM. Fiona distributed a proposed agenda for the meeting, which was followed by the Board. I. Minutes: Fiona began by insuring that all Board members present had had the opportunity to review the minutes of the June 11th . It was moved, seconded and passed unanimously that the Board accept the Minutes of the June 11th meeting. II. Financial Report: Susan Meyer then delivered a financial report on the Group, and passed out copies to the attendees. She noted that we were still covering the costs of the dances, and doing well financially. The exceptions were the last Saturday dance, and the Last Gasp Dance, where we didn't cover the cost of hall rental. Tony Gregory observed that we had determined that we would have covered the cost of the Saturday dance, had everyone present at that dance actually paid their admission. Susan noted that the bank account balance was healthy. She also noted that after having had no new members over several months, 4 members had recently joined. There were no questions on the group's finances, and the Board approved the financial report. III. Partly in response to a recent event in which a band failed to show up at all, and another in which a musician was late to a special exhibition dance, Fiona said she had reposted the band/caller list for the quarter, and reposted the Board's policy regarding cancellations. IV. November 23rd was agreed upon as the next date for a Saturday dance. This is to be held at the Harrison center. We still need a band and a caller, and Fiona will pursue this. The group's standard budget for band and caller will apply. V. Months for the Saturday dances for 2003 were decided as: Feb, June, Sept, and Dec. Exact dates to be determined. VI. Gypsy Moon Ball a) At the Harrison Center. Hall available at 5:00 PM on Saturday. b) Plan to use Tony's sound system (due to echo problems) with advice from a couple of sound engineers in his employment. c) We need a sign-up sheet for assistants. d) Committees VII. Athenaeum issues: We have negotiated a new contract (after much conflict and communication) for $80 night, through Dec. 31, 2003. Susan had requested that we have our sound box returned to the room next to the hall. (As a postscript to these minutes, the contract was awaiting us at the dance, and was signed and returned. The terms were as indicated, and the sound box does return to the room next to the hall.) Tony observed that we could usually meet the $80/night rent if everyone attending would pay, as it usually seemed that we were 5-6 admissions short. It was determined to ask members to take turns sitting at the desk for one dance each to remind people to pay their entry fee. Fiona was going to make an announcement on this point. VIII. Lisa announced her plan to host a 3 day dance weekend, July 18-20, 2003, to celebrate her 50th birthday and show her appreciation to the dance community. She has arranged the band and caller, but still needs a location, and could use assistance in planning and organizing this event. IX. The next Board meeting was suggested as September 17th, with the 24th as the alternate date, before the dance, at The Abbey. Fiona to confirm via email.
