ITMDG Board Meeting Minutes 10/18/2005Minutes of the ITMDG Board Meeting October 18, 2005Present were Fiona, Susan, Juliet, Jan, Tony, Ken and Carol Gall
I. The Board approved the August Minutes II. Susan presented the Financial Report a. We are making a profit for the year – approximately $1400 through Oct. 11th, not taking into account Gypsy Moon Ball expenses or revenue, nor the need to replace some sound equipment. b. Average attendance was down in Sept. To 23, from 29 in August, perhaps due to having no special bands. c. Our account has exceeded $6,000 for the first time. d. The replacements for the two missing Shure microphones have been ordered. e. Other sound equipment – 5 mike stands and a cable snake – have also been ordered. f. Total for the equipment will be just over $400. III. Scheduling a. Current Quarter. i. 10/18 Adam & Jaige ii. 11/22 Adina Gordon b. 2006 Schedule i. 01/24 Judy Greenhill & Relative Harmony (confirmed) from Toronto ii. 04/18 Kitchen Chair & Nancy Spero (confirmed) from Ithaca. iii. 02/21 Lissa Schneckenberger - cancelled iv. All for standard special band rates c. Quarterly Flier i. 12/16 deadline for draft of winter newsletter & schedule ii. 12/20 print & distribute IV. 2006 Saturday/Weekend dances a. Beach Party - February 25th i. No bands or callers contacted yet b. GMB2006 – October 28-29, 2006 i. No bands or callers contacted yet. Fiona to check with a couple of possibilities. ii. (Wild Asparagus? Good Gravity?) iii. Bloomington Friday Dance is not likely in 2006. iv. A full weekend dance for our group will depend on how much support we can get from the membership on the work load for this year’s GMB. V. We have a request for teaching dance at St Francis Hospital’s Spirit of Women Day of Dance a. 2/25/2006, 10-3pm, which is the same day as the Beach Party. b. U of Indy, carpeted hall (2400 sq feet) c. Little or no money offered for talent d. Board concluded to decline. VI. Athenaeum a. We have been bumped 6 times this year – one short of the contractual limit. b. There are no sanctions in the contract for exceeding the limit. c. Still probably better to stay in the Athenaeum if we are bumped. d. Susan and Tony to discuss using the YMCA room until 10:30 if we are bumped to it, since we rarely get in before 8:10-8:15. e. Susan and Tony to contact Jim Gould to begin renegotiating contract, which expires in February, 2006. VII. Indianapolis Woman interview a. Was meant to address GMB, but did not show in this issue VIII. Meetings & Elections a. Tony, Phillip & Jan are ending their terms. b. Set Election & Annual Meeting dates. i. Annual Meeting before dance again? (Jan 24, 31, or Feb 7) ii. Election during dance? (February 14, 21, or 28) iii. These dates were not yet decided at the Board meeting. c. Date for “GMB Wrap” meeting set for 11/15. i. We will need to discuss election details at this meeting as well, since we don’t normally have another Board Meeting until after the elections. d. Date for next board meeting – after elections. IX. Gypsy Moon Ball 2005 a. Extend early bird registrations are exceeding last year’s. b. 23 registered as of 10/17 c. 8 folks confirmed for cabins so far, no other dancer housing requested so far d. Bandanas i. 50 ordered ii. Due to ship Friday, 10/21 iii. $200 plus shipping + $13.13 credit iv. Tony will pick these up after Fiona lets him know they are in. e. 140 Buttons made. i. We will make more on site if needed. f. Jan volunteered as Cleanup Captain! g. The Board discussed the assignments for GMB i. Fiona noted that the computer registration had been improved ii. But we will keep a backup paper sign-in for each registrant.
