  • Gypsy Moon Wrap-Up Dinner notes. Nov. 4, 2003.

    Fiona, Juliet, Susan and Tony present.
    
    Decorations:
    
    Need decorations more suited to the limitations of the room.  Susan already has some of these.
    
    We need a ladder to hang decorations.  Juliet can provide this.
    
    We should bring our speaker stands to deploy and hand garlands from.
    
    Eight tables was about right for dinner.
    
    
    Food/Kitchen:
    
    Need to thank Harry (again) profusely, and ask him to take charge of the kitchen again next year.
    
    We needed more paper towels.
    
    Veggie lasagna was more popular.  Need three of these and one meat.
    
    Needed more serving utensils, or need to know where ours are.
    
    Remind kitchen folks to turn on the oven exhaust fan.
    
    
    Hall/Setup/Dance:
    
    Three sound setup helpers was about right.  Needed 3 tear down (had 2).
    
    Need to ask Ranger Kevin to wax the floor after the dance, and not before.
    
    Need to let everyone know in advance about the floor’s lack of friction, and suggest  they bring various shoes.
    
    Hold the late break to ten minutes.
    
    Grand promenade earlier – judge during promenade. Assign someone to picture taking during the promenade.
    
    Needed signs for the Men’s room (and women’s room too, although the women could find their restroom.)
    
    Need a sign to ward off from side door, and perhaps lock it.
    
    Changing screen or curtain in the soft drink alcove to free up restrooms.
    
    Registration:
    
    Half hour registrations shifts went extremely well.  Need to improve the computer system if we are to use this.
    
    Dry ice was a hit.
    
    Buttons were great.  No T shirts.
    
    
    Breakfast buffet.
    
    Amber did a great job.
    
    Might suggest a 10:15 starting time.  
    
    Six tables would be about right.  (We had 4 and set up one additional.)
    
    
    Cleanup:
    
    Need an assigned crew for first night cleanup with assigned tasks.
    
    For the last day, we need an assigned crew, a list of tasks, an announcement ahead of time that it takes 90 minutes to clean up the hall, and some mild guilt provocation.  Need to make sure that folks don’t cut out and avoid the ugly tasks.
    
    
    Next Year:
    
    Need to determine if we are going to do a 2 or 3 day dance.  Do we know enough about what we are doing in this new space?  Can we get enough help for a three day dance before we have them working on a two day?  What do the dancers want?
    
    If we do a three day, we’ll need workshops.  If we do a two day, the workshop did not seem to be a good use of resource.
    
    Susan got us to a price for the hall that made the dance possible.  Susan to begin to negotiate for 2004.  Sat/Sun definitely, Friday tentatively.
    
    Fiona to repeatedly advise Bloomington that we are having this dance on the fifth weekend of October.  (This year the second day will be Halloween.)  So that Bloomington does not schedule a 5th weekend dance.
